This Privacy Policy explains how PressPrep.ai LLC (“Press Prep,” “we,” “us,” or “our”) collects, uses, discloses, and protects information in connection with the Press Prep website and services (the “Service”). By using the Service, you agree to the practices described here.
1. Information we collect
Information you provide
- Account information — name, email address, password credentials, and organization details when you sign up.
- Interview and prep inputs — details you enter about an interview (outlet, reporter, topic, format), your key messages, and any context documents you upload for us to analyze.
- Practice recordings — audio and video from mock-interview practice sessions, and the transcripts we generate from them.
- Forwarded emails — when you forward a reporter’s email to a Press Prep intake address, we process the message contents to create your prep materials.
- Debrief inputs — interview transcripts you paste and published stories or coverage you provide so we can score how an interview went.
- Payment information — handled by our payment processor (Stripe). We do not store full card numbers on our servers.
- Support communications — messages you send us and their contents.
Information collected automatically
- Usage and device data — pages viewed, features used, approximate location derived from IP address, browser and device type, and similar analytics.
- Cookies and similar technologies — used to keep you signed in, remember preferences, and measure usage. See “Cookies” below.
2. How we use information
- Provide, operate, and improve the Service and generate your prep materials.
- Process practice recordings into transcripts, scores, and feedback.
- Authenticate you, process payments, and manage your subscription and credits.
- Respond to support requests and communicate about the Service.
- Monitor for security, prevent abuse, and comply with legal obligations.
- Analyze usage to understand and improve how the Service performs.
3. Artificial intelligence processing
Press Prep uses third-party AI and machine-learning providers to analyze your inputs and generate briefs, questions, talking points, practice interactions, transcripts, and debriefs. To do this, the relevant content — which may include your context documents, interview details, forwarded emails, pasted transcripts, published coverage, and practice recordings or their transcripts — is sent to these providers to return a result to you. We contract with these providers to process this content on our behalf. We do not sell your content, and we do not authorize our AI providers to use your content to train their general-purpose models where such a control is available to us.
4. How we share information
We do not sell your personal information. We share information only as follows:
- Service providers — third parties that help us operate the Service under contract and only for that purpose. These include providers of artificial-intelligence and machine-learning processing, payment processing, cloud hosting and storage, email delivery, analytics, and error monitoring. We will provide further detail about the categories of service providers we use upon reasonable request.
- Your organization — if you use Press Prep through a team account, administrators of that account may access content and activity within it.
- Legal and safety — when required by law, to enforce our terms, or to protect the rights, property, or safety of Press Prep, our users, or others.
- Business transfers — in connection with a merger, acquisition, or sale of assets, subject to this Policy.
5. Data retention
We retain your information for as long as your account is active and as needed to provide the Service. You may delete interviews, documents, and recordings from within the Service. When you close your account, we delete or de-identify your personal information within a commercially reasonable period, except where we must retain it to comply with legal obligations, resolve disputes, or enforce our agreements.
6. Security
We use administrative, technical, and physical safeguards designed to protect your information, including encryption in transit, access controls, and encryption of sensitive fields at rest. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
7. Your rights and choices
Depending on where you live, you may have rights to access, correct, delete, or export your personal information, or to object to or restrict certain processing. To exercise these rights, email [email protected]. You may also update account information within the Service and opt out of non-essential emails using the unsubscribe link. We will not discriminate against you for exercising these rights.
8. Cookies
We use strictly necessary cookies to operate the Service (such as keeping you signed in) and analytics cookies to understand usage. You can control cookies through your browser settings; disabling some cookies may affect how the Service works.
9. Children’s privacy
The Service is not directed to children under 16, and we do not knowingly collect personal information from them. If you believe a child has provided us information, contact us and we will delete it.
10. International users
We are based in the United States and process information there and in other countries where our service providers operate. By using the Service, you understand your information may be transferred to and processed in the United States.
11. Changes to this Policy
We may update this Policy from time to time. We will post the updated version with a new effective date and, where appropriate, provide additional notice.
